Mastering Dataverse Bulk Delete – Track, Audit, and Debug Your Bulk Deletion Jobs

So far in this series, we’ve explored how to initiate and automate bulk deletions in Dataverse, and how to protect critical records through retention. But how do you know your deletion job actually worked?

In Part 4, we break down the tools and methods to track, monitor, and troubleshoot Bulk Delete operations.


1. Meet the BulkDeleteOperation Table

Every bulk deletion request submitted through the UI, SDK, or API becomes a system job, represented by a record in the bulkdeleteoperation table. This job record tracks:

  • Status Reason (Pending, In Progress, Succeeded, Failed)
  • Actual Start/End Time
  • Owner (who submitted it)
  • Name and Description (e.g., “Delete stale contacts”)

2. Tracking Deletion Results

Use the BulkDeleteOperation fields to track the outcome:

  • SuccessCount – Number of records successfully deleted
  • FailureCount – Records that could not be deleted
  • ErrorNumber and ErrorDescription – Details if something went wrong

If FailureCount > 0, it’s time to check the companion table: bulkdeletefailure


3. Debugging with BulkDeleteFailure Table

This table stores failure records for each bulk delete job that encountered issues. It provides:

  • Reference to the failed record (ObjectId)
  • Error Code and Message
  • Related BulkDeleteOperationId

🛠 Common causes:

  • Record locks (concurrent use)
  • Missing privileges
  • Plugin exceptions

Pro Tip: Join this with audit logs to correlate what might have blocked deletion (e.g., last modified by a user or integration).


4. Automation-Friendly: Monitoring via SDK or API

Here’s how to query the status of a job via C# SDK:

In Power Automate or via Web API, you can use a GET call to /bulkdeleteoperations({id}) to retrieve job status and results.

This is especially useful in:

  • CI/CD pipelines (validate cleanup)
  • Scheduled jobs with failure alerts
  • Integration testing to verify cleanup behavior

5. Real-World Use Case: Auditing a Scheduled Deletion

Let’s say you scheduled a monthly cleanup job to remove inactive lead records. After execution, you:

  1. Check the BulkDeleteOperation for success count
  2. Find 10 failures due to locked records
  3. Use BulkDeleteFailure to identify the IDs
  4. Notify owners or retry during a maintenance window

This closes the loop and ensures no silent data issues linger.


Bulk delete isn’t just fire-and-forget it’s a repeatable, auditable system that gives you confidence in your data hygiene processes.

With the right monitoring in place, you can:

  • Know what was deleted
  • Know what wasn’t
  • Take action accordingly
